Site Files Introduction

Site Files serves the central hub to upload, access, initialize, export, and set alt text for all files located within the website.

Admin features:

Uploading new files

To upload new files, click the cloud icon shown in the screenshot below. After selecting a file, you'll be able to choose a directory and set the initialization details.

Note: Alternatively, you can drag a photo from your desktop directly onto the cloud icon to upload it.

Attaching to a directory

When uploading a file, ensure it is placed in the correct directory where it will be used to keep everything organized.

What does initialize mean?

Initializing a file means it's ready to be used on the front end—initialized files will have alternative text (which should be a descriptive explanation of the image for the visually impaired), a title for the image, along with tags and an expiration date if the image is time-sensitive.

Organizing files

While viewing site files, you can re-order them. At the top of the files, locate 'Layout/Mode' and click on the two crossing arrows as shown below. Once in 'Organizing Mode', multiple options will become available, such as downloading/exporting images, changing their location, editing image details, or deleting them.

Sorting by tags

Files can be sorted by tags, enabling the selection of multiple subjects or themes simultaneously. This feature allows for organization and filtering of files based on specific tags, enhancing efficiency in managing and finding files.

Files can be sorted by date, enabling selection of multiple dates or date ranges simultaneously. This feature allows for organization and filtering of files based on specific time periods, enhancing efficiency in managing and finding files.

Sorting by directory

Files can be sorted by directory, with the option to add a new directory. This feature allows for organization and filtering of files based on specific folders, enhancing efficiency in managing and finding files.

File is missing error

If a file has a red warning icon associated with it and no preview thumbnail, it means the file is completely missing. To resolve this, reupload the file into the site files.

If a file has a blue warning sign associated with it, it means the file is too large. To fix this issue try to upload a smaller version of the file.

If a file has a gray warning icon associated with it, it means the file is not being used anywhere on the site.

This can be ignored if the file is intentionally stored for future use. Try to avoid storing too many unused files, as this will consume unnecessary storage and clutter up the space.

Collecting files

When you click on a file under the preview will be a bag icon saying 'collect'. This is how stored files can be shared and downloaded.

Tip: Multiple files can be collected at once.

Adding attributions

For any files requiring attribution, navigate to the bottom right of the files page and select the 'Attributions' checkbox. From there, fill out all the necessary attribution details.



Note: If attribution is required, ensure that the 'Attribution Required' checkbox is selected.

To add a shortcut, click on the account menu in the top right and select 'Create a Shortcut'.
